Getting Started
What is My Steward Registry?
My Steward Registry is a platform that helps owners document, preserve, organize, and share the complete history of the assets they care about.
Whether it’s a daily driver, classic car, truck, motorcycle, restoration project, boat, or another supported asset, My Steward Registry gives you one place to store photos, videos, receipts, service records, warranties, inspection reports, and the story behind your asset.
You control what information stays private and what you choose to share.
Why Should I Care?
Documentation has value.
Receipts get lost. Photos stay on old phones. Maintenance records disappear. Stories are forgotten.
My Steward Registry gives you one permanent place to preserve everything you’ve invested in your vehicle or project.
Whether you plan to keep it forever or eventually sell it, good documentation helps tell its story and demonstrate how it has been cared for.
What is RustFax?
RustFax is the documentation and inspection platform within My Steward Registry.
It focuses on documenting:
- Rustproofing services
- Undercoating
- Vehicle inspections
- Maintenance
- Repairs
- Preservation
RustFax helps create a permanent record of proactive care.
It is not a traditional vehicle history report. Instead of focusing primarily on accidents or damage, RustFax focuses on documenting responsible ownership and stewardship.
What Does My Steward Registry Actually Do?
My Steward Registry stores, organizes, and displays documentation.
It helps preserve records. It helps tell your vehicle’s story. It helps organize photos, videos, receipts, warranties, inspection reports, restoration milestones, and supporting documentation.
My Steward Registry does not certify vehicle condition, determine value, provide appraisals, or guarantee the accuracy of user-submitted information.
Claiming Your Vehicle
Why Is My Vehicle Already In The Database?
If you’ve had service performed by a participating shop or service provider, your vehicle may already have records in the Platform.
This is especially common for NHOU customers.
These records were created to document services that were performed on your vehicle.
Once you claim your vehicle, you can continue building its documented history.
How Do I Claim My Vehicle?
If your vehicle already exists in the Platform, simply search using your VIN.
Once ownership has been verified, you’ll be able to claim your vehicle and begin managing your records.
Can I Have More Than One Vehicle?
Yes.
You can document as many eligible vehicles or supported assets as you’d like under a single account.
Your Records
Can I Upload My Own Records?
Absolutely.
You can upload:
- Photos
- Videos
- Receipts
- Invoices
- Warranties
- Inspection reports
- Manuals
- Bills of sale
- Restoration updates
- Service documentation
- Historical documents
The more documentation you preserve, the more complete your asset’s history becomes.
Who Owns My Content?
You retain ownership of the content you upload.
My Steward Registry provides the tools to organize, preserve, and display your documentation while operating the Platform in accordance with our Privacy Policy and Terms & Conditions.
Can I Keep My Records Private?
Yes.
You control how your records are shared.
Depending on available features, records may be:
- Private
- Shared with specific people
- Public
- Included in Marketplace listings
- Featured as a Legacy Build
You decide what others can see.
Can I Edit My Records Later?
Yes.
You can continue adding documentation as your vehicle or project evolves.
Some business-submitted or historical records may be protected to preserve the integrity of the documented history.
Will My Records Be Deleted If I Delete My Account?
Generally, no.
Vehicle and asset records are intended to become part of the permanent documented history of the asset.
If you deactivate your account, your personal account information may no longer be active, but historical documentation associated with the asset is generally retained to preserve transparency and historical integrity, subject to applicable law and Platform policies.
Documentation & Verification
What Are The Different Record Types?
Records may display labels such as:
- Owner Submitted
- Business Submitted
- Verified
- Inspected
- Certified (where applicable)
These labels identify the source or level of documentation.
They do not guarantee ownership, authenticity, condition, safety, workmanship, or value.
What Is A Stewardship Report / 38-Point Inspection?
A Stewardship Report is a professional inspection report created by participating service providers.
Reports may include:
- Before and after photos
- Inspection checklist
- Technician observations
- Service details
- Areas requiring future attention
- Supporting documentation
These reports become part of the vehicle’s documented history.
How Accurate Are The Records?
My Steward Registry preserves documentation submitted by owners, businesses, inspectors, and other authorized contributors.
While verification labels identify the source of documentation, users should always review records and supporting evidence before relying upon them.
Marketplace
Do I Have To Sell My Vehicle?
No.
Most users never list their vehicle for sale.
The Marketplace is completely optional.
Many users simply want a permanent place to preserve their documentation.
What Does “Entertaining Offers” Mean?
It allows you to let people know you’d consider selling your vehicle if the right opportunity came along.
Your vehicle is not officially listed for sale, but interested buyers may contact you.
How Does The Marketplace Work?
You may list your vehicle together with its documented history.
My Steward Registry provides the platform for listings and communication.
We are not a party to the sale.
Buyers and sellers are responsible for inspections, negotiations, payment, title transfer, shipping, taxes, and all other transaction details.

Email Policy
What happens when I contact a seller?
When you submit the contact form on a listing, RustFax delivers your message to the seller on your behalf. The seller sees your name and your message — not your email address.
Is my email address shared?
No. RustFax relays messages between buyers and sellers, so your email address is not shared with the other party. When the seller replies, the response travels through a private RustFax relay address, and both of you can hold a normal email conversation without revealing your own address.
How long does a conversation stay open?
A relay conversation stays active for 60 days after the initial inquiry. After that, replies are no longer forwarded — you can always start a fresh conversation from the listing page.
Retention
How long are messages kept?
Relay conversations are active for 60 days (see above). The underlying message records are retained as described in our Privacy Policy.
How long do listings stay up?
A listing remains public until the seller pauses it, marks the vehicle sold, or removes it. Once a listing ends, it is no longer publicly visible.
How long are vehicle records kept?
Vehicle records — service visits, photos, documents, and warranties — make up the vehicle’s history and stay with its profile. That permanence is the point of RustFax: the record follows the vehicle, including across changes of ownership.
How long is my account data kept?
Account information is retained while your account is active, and may be retained after deactivation as described in our Privacy Policy.
What about internal logs?
Internal activity logs used for security and diagnostics are kept for two weeks, then automatically purged.
